General — REPLAI platform

What is REPLAI?
REPLAI is a modular business management platform designed for SMEs. It includes independent modules for CRM (Sales), e-signature (Sign), HR & time tracking (People), hiring (Recruit), online bookings (Booking) and automations (Automations). Each module is contracted separately based on your needs, but they all share the same account and data.
Do I need to contract all the modules?
No. You can start with just one module and add others when you need them. Each module works on its own, but when you activate several they connect natively without external integrations. For example, you can start with just the CRM and later activate e-signature to send contracts straight from the pipeline.
Is my data safe?
Yes. REPLAI operates under European law (GDPR), with EU-hosted servers, encryption in transit and at rest, and daily backups. The Gmail connection uses OAuth 2.0 (Google's security standard) and we never store passwords. User-level permission control means each person only accesses what they need.
How long does it take to roll out REPLAI?
Less than 5 minutes to start with any module. Create your account, set the basics and get going. If you're coming from another tool, you can import your data from CSV or Excel. Our team helps you with the migration for free so no historical data is lost.
What integrations does REPLAI offer?
Every module integrates with Zapier, Make, webhooks and REST API, so you can connect any external tool. There are also module-specific native integrations: Gmail and Google Calendar (Sales, Booking), Slack (People), LinkedIn (Recruit), Zoom, Google Meet and Microsoft Teams (Booking).
Is there a user limit?
The number of users depends on your plan, but every plan includes full access to all features of the contracted module. No features are locked behind premium plans. Permissions are configurable so each person only sees what they need.

Sales — Sales CRM

How is REPLAI Sales different from HubSpot or Pipedrive?
REPLAI Sales offers every feature on every plan: visual pipeline, Gmail-integrated email, AI lead scoring, web forms and automations. No features are locked by plan. It's also part of a modular platform where you can enable e-signature, chatbot, HR or hiring — all natively connected, no third-party integrations.
How does AI data enrichment work?
When you add a contact or company, REPLAI automatically looks up publicly available info: industry, size, location, social media, contact details and more. You only need the company name or its web domain. It also detects duplicates and suggests merging records to keep your database clean.
Can I connect my Gmail account to the CRM?
Yes, REPLAI Sales connects to Gmail via OAuth 2.0, Google's security standard. Once connected you can send, receive and track emails directly from the CRM, with reusable templates, HTML signatures and open tracking. Every email is automatically linked to the matching contact and deal.
How does lead scoring work?
REPLAI lead scoring automatically assigns a score to every lead based on rules you set: source, industry, company size, engagement level and activity. Leads are visually classified as Hot, Warm or Cold so your team knows immediately who to prioritize.
Can I capture leads from my website straight into the CRM?
Yes. REPLAI Sales includes embeddable web forms you can place on any page. When a visitor submits one, a contact and a deal are automatically created in your pipeline, assigned to the right rep, and an instant notification is sent.
How does automatic lead assignment work?
You can set up automatic assignment rules by round-robin (even split among reps), by geographic territory, by product or service, or by any custom criteria. When a new lead arrives, the system assigns it automatically and notifies the rep.

Sign — E-signature

Is the e-signature legally valid?
Yes. REPLAI's e-signature complies with the European eIDAS Regulation (EU 910/2014) and Spanish Law 6/2020. Every signature generates electronic evidence including timestamping, signer ID and a cryptographic hash of the document.
What's the difference between the three signature types?
Digital certificate signing offers the highest level of legal security. OTP signing uses a unique verification code sent by SMS or email, combining convenience and security. Biometric signing captures stroke, pressure and speed on touch devices, generating unique, unrepeatable evidence.
Does the signer need to install any app?
No. Signers receive a link by email or SMS and can sign directly from their browser, with no apps, plugins or personal digital certificate required. Works on mobile, tablet and desktop.
Can I send documents to multiple signers?
Yes. You can add as many signers as you need and configure the signing order: sequential (one after the other) or parallel (all at once). You can also include approvers who validate the document before signing.
Can I create templates for recurring documents?
Yes. REPLAI lets you create reusable templates with pre-configured signature, text, date and checkbox fields. Ideal for employment contracts, commercial proposals or other documents you send often.
What if a signer doesn't complete the signature?
The system sends automatic reminders to pending signers. From your dashboard you can see the status of each request in real time, resend notifications manually or cancel the process if needed.

People — HR and time tracking

Does REPLAI comply with the 2026 digital time-tracking regulation?
Yes. REPLAI is fully adapted to the new Spanish regulation requiring digital, tamper-proof time records with remote access for the Labor Inspectorate. Records are immutable, with a traceable change log, unique credentials per employee and 4-year encrypted data custody.
Where can employees clock in from?
Employees can clock in from four channels: web browser, mobile app (iOS and Android), straight from Slack without leaving their workspace, or via a tablet in kiosk mode for offices and on-site workplaces.
How are holidays and absences managed?
Each employee requests holidays or leave from the platform. The manager receives the request, approves or rejects it, and the system automatically updates the team calendar. You can set different policies by company, day type, and always see team availability.
Can I define different schedules per employee or department?
Yes. REPLAI lets you create multiple schedules with fixed or flexible windows, split shifts and rotating shifts. You can assign work calendars per employee, team or workplace. The system automatically calculates each person's theoretical hours.
What if an employee forgets to clock in?
REPLAI includes automatic shift closing to avoid incomplete records. The employee can request a correction that goes through an approval flow with a change history, preserving the integrity and traceability of the records.
Is it suitable for remote or hybrid teams?
Absolutely. REPLAI is designed for on-site, hybrid and 100% remote teams. Employees clock in from wherever they are (web, mobile or Slack) and managers get full visibility regardless of team location.

Recruit — ATS hiring

What is an ATS and why do I need one?
An ATS (Applicant Tracking System) centralizes the entire hiring process. Instead of managing candidates with spreadsheets and emails, an ATS lets you post jobs, receive applications, evaluate candidates and make decisions from a single platform. REPLAI Recruit adds automatic AI prescreening and smart scoring.
How does AI prescreening work?
When a candidate applies, REPLAI's chatbot asks a set of killer questions you pre-configure. The system automatically scores answers and filters out candidates who don't meet minimum requirements, so you only review qualified ones.
How does scorecard evaluation work?
You can create evaluation templates with specific criteria (technical skills, communication, cultural fit, etc.) and assign a weight to each. Multiple evaluators can score the same candidate independently, and the system automatically calculates the weighted average, removing bias.
Can I publish jobs on LinkedIn, Indeed or InfoJobs?
REPLAI Recruit generates a public link for every job that you can share on any platform: LinkedIn, Indeed, InfoJobs, social media or your own website. Candidates apply through an integrated form and their data enters the pipeline directly.
Are automatic emails sent to candidates?
Yes. You can set up automatic emails for each stage change: application confirmation, interview notification, rejection email, etc. Templates are fully customizable with dynamic variables (name, role, company).
Can I migrate candidates from another ATS or Excel?
Yes. You can import candidates from CSV or Excel files. If you're coming from another ATS, our team helps you with the data migration so no history is lost. You can also add candidates manually at any time.

Booking — Online bookings

How is REPLAI Booking different from Calendly?
Three main differences. First: every feature is available on every plan, while Calendly locks round-robin and workflows behind expensive tiers. Second: Booking is part of a modular platform with CRM, chatbot and e-signature natively connected. Third: we have no artificial SMS credit limits or connected-calendar restrictions.
Do clients need to create an account to book?
No. Your clients just need to open the link, pick date and time, fill out the configured fields and confirm. They receive a confirmation email with the calendar event. No sign-up, no friction.
How does round-robin work for teams?
You create a team event type and add the participating members. Booking automatically assigns the meeting to the available member according to the rules you set: even distribution, by priority or by availability. Each member manages their own calendar.
Can I embed the calendar on my website?
Yes, in several ways: as an embedded widget, as a button that opens a popup, or by linking to your custom booking page. It's all configured from the dashboard, no coding required.
Does it connect with video-conferencing tools?
Yes. Booking integrates with Google Meet, Zoom and Microsoft Teams. When a client books an online meeting, the video link is generated automatically and included in the confirmation email and the calendar event.
What if a client needs to cancel or reschedule?
The confirmation email includes links to reschedule or cancel. The client can do it without contacting you. You receive a notification and the slot is automatically released for others to book.

Chatbot — AI assistant

How does the chatbot learn from my data?
REPLAI is trained exclusively on your information: documents, web pages, PDFs and your own knowledge base. It doesn't use external data or make up answers. You can update the content at any time from the management panel.
On which channels can I deploy the chatbot?
You can enable your agent on your website (embedded widget), WhatsApp Business and native mobile apps. All channels share the same knowledge base and configuration.
What happens if the chatbot doesn't know the answer?
When the agent can't find a reliable answer, it automatically escalates the conversation to a human agent. It also logs the query so you can expand the knowledge base and continuously improve.
How many languages does the chatbot support?
The chatbot automatically detects and responds in over 50 languages without extra setup. The AI adapts tone and cultural context to each language.
Can I customize the chatbot's personality and tone?
Yes. You can configure the agent's personality, communication tone and responses to match your brand. The chatbot will always reply consistently with your company's identity.
Can the chatbot generate leads for the CRM?
Yes. When the chatbot captures visitor data (name, email, company, query), it can automatically create a contact and a deal in REPLAI Sales. With Automations active, you can also configure workflows that trigger on every lead captured by the chatbot.
How is data privacy protected?
All data is encrypted in transit and at rest, hosted on European GDPR-compliant servers. Your information is never shared with third parties or used to train external models. You have full control over what data trains the model.
What metrics can I see in the management panel?
The panel includes AI-generated smart summaries of each conversation, automatic quality scoring of each interaction, usage metrics, resolution rate and satisfaction in real time. You can also export the data for analysis or CRM integration.

Automations — Workflows

How is it different from Zapier or Make?
The main difference is that Automations is native to the REPLAI platform. You don't need to set up APIs, you don't pay per execution, and data flows between modules without leaving the platform. Zapier and Make are generic tools that connect external apps; REPLAI Automations connects your own business modules directly and instantly.
Do I need technical skills to build workflows?
No. The visual editor works with drag-and-drop: pick a trigger, add conditions if you need them and configure actions step by step. Each step has its own form with clear fields. No coding or API knowledge required.
Can I send WhatsApp from a workflow?
Yes, from the Business plan upward. You can configure actions that send WhatsApp messages using Meta-approved templates. Ideal for confirmations, welcomes, reminders or automatic follow-ups.
What happens if a workflow step fails?
Each run is logged in the history with step-by-step detail. If an action fails, the system marks it with the reason for the error. You can review the log, fix the problem and re-run the execution manually.
Do I need all the modules to use Automations?
No. Automations works with whichever modules you have. If you only have Sales and Sign, you can build workflows that connect those two. Available triggers and actions adapt automatically to your active modules.
Can I see the execution history of each workflow?
Yes. Each workflow has a full execution log. For each run you can see: which trigger fired it, what data was processed, which path it took through the conditions, which actions ran successfully and which failed, plus the exact date and time of each step.

Pricing and billing — Subscription model

How does REPLAI's pricing work?
REPLAI is modular: each module (Sales, Sign, People, Recruit, Booking, Automations) is contracted separately. Within each module there are different plans by usage volume, but every feature is included in every plan. No features are locked behind premium plans.
Can I try REPLAI before paying?
Yes. We offer a free trial period so you can explore the platform and see how it works with your team. No credit card needed to start. You can also book a personalized demo with our team to answer any questions.
Is there a minimum-term commitment?
No. You can cancel your subscription at any time. If you cancel, you keep access until the end of the billed period. Your data remains available for export during a grace period.
Is there a discount for contracting several modules?
Yes. When you combine modules, progressive discounts apply. The more modules you activate, the bigger the savings. Contact our sales team for a custom quote based on your needs.
Which payment methods do you accept?
We accept credit/debit cards and SEPA direct debit. Billing can be monthly or annual (with a discount). All invoices are available in your admin panel for download.
